We have heard from many that they have not received their election packet. We have verified that all packets were delivered to the post office, and we believe the majority of the problem is with the post office. The following packets have been returned to our office as undeliverable, but we have confirmed that the address is correct per the Hillsborough County tax records. If your address is NOT listed above and you still did not receive your packet, we have some extras. You can come in to the clubhouse office to pick up a ballot, proxy, a list of board candidates and the proposed amendment to the by-laws. ANYONE PICKING UP A PACKET OR REQUESTING INFORMATION WILL BE ASKED TO SHOW THEIR I.D. so we can verify you are the owner of the unit. Your ID must show the exact name and address that we have on file. You can pick up packets until close of business on Monday, August 13.
WE WILL NOT BE ISSUING ANY REPLACEMENT ELECTION PACKETS AFTER MONDAY, AUGUST 13, as we will begin to prepare for the meeting. We will be here on Saturday, August 11 from 10:00 AM to 2:00 PM to issue packets and assist you with filling them out. Please take advantage of this opportunity.
We must receive BOTH the BLUE PROXY (to establish a quorum) AND the YELLOW BALLOT. If you come to the clubhouse to pick up a packet, we will ask that you sit down at a table and fill out your proxy and ballot while you are here and turn it in so that we can assist you if you have any questions.
An e-mail bulletin was sent out on August 2 containing proxy and ballot instructions in ENGLISH. Please go to the website and click on announcements and you will see the e-mail. The e-mail starts out with 'By now you should have received.' We also posted the instructions in SPANISH yesterday, August 7, and have received e-mails asking us to send the instructions in ENGLISH. They have already been sent. Please check the website.
We are trying to educate and communicate with all members as best as possible to ensure that we have an efficiently run membership meeting and election. Please assist us by following these instructions and coming in as soon as possible if necessary to pick up what you need.
