By now everyone should have received their annual
meeting/election packages in the mail.
We have received several envelopes at the office which have been
returned incorrectly. We kindly ask
that you read the instructions carefully or call us if you have
questions at 813-969-3991.
We are attaching again a sample sheet showing how each
envelope should be returned, as we received some comments that the sample in
the package was difficult to read. We
also have a larger size placard in the clubhouse that is much easier to
read. If you want to stop by the
clubhouse, take a look at that, fill out your proxy and ballot at that time and
turn it in you are more than welcome.
In order to have a valid election it imperative that the
proxies and ballots be returned correctly.
We have received several inquiries about the validity of people going
door to door to collect proxies and ballots.
There is no Florida law that
prohibits anyone from going door to door to collect these items. If you wish to fill out your proxy
and ballot and give the envelopes that you received in the mail to
someone who is collecting them at your door, you are free to do so. HOWEVER, THE FORMS AND ENVELOPES MUST BE
COMPLETED IN A SPECIFIC MANNER, OR THE PROXY AND BALLOT WILL BE INVALID, AND
YOUR VOTE WILL NOT BE COUNTED. No
photocopies or duplicates of the proxies, ballots and envelopes should be
provided to you prior to the annual meeting by anyone other than by staff at the clubhouse office, as official forms were
mailed to each unit owner.
Below is another summary of how to return your proxies and
ballots:
Fill out the BLUE LIMITED PROXY by inserting
your address on line 1. If you name
someone other than Lesley Cintron to be your proxy, you must insert their
name. However, if you list another
member of the Association as your proxy, that person is limited to holding five
(5) proxies. If we receive more than
five (5) proxies with the same name, only the first five proxies received
naming that individual will be accepted.
Then check either General Powers or Limited Powers. If you select Limited Powers, place an “X”
next to “In Favor” or “Opposed” to the Amendment. Sign, print your name and date at the bottom
of the proxy. Insert the BLUE PROXY
into the double window envelope. Insert
the coupon that says PROXY ENCLOSED so that the PROXY ENCLOSED and Plantation
address appears in the window. Seal the
envelope.Fill out your YELLOW BALLOT by voting for no
more than 3 candidates. Insert your
yellow ballot into the Yellow enveloped stamped BALLOT ONLY. Insert the yellow envelope into the single
window envelope. Insert the coupon that
says BALLOT ENCLOSED so that the BALLOT ENCLOSED and Plantation address appears
in the window. Seal the envelope. YOU
MUST THEN PRINT YOUR NAME, ADDRESS, ACCOUNT NUMBER AND SIGN ON THE LEFT HAND
SIDE OF THE ENVELOPE. FAILURE TO PROVIDE THIS INFORMATION ON
THE OUTSIDE OF THE ENVELOPE WILL RESULT IN YOUR BALLOT NOT BEING COUNTED!
At the meeting we will verify that we have received only one
proxy and ballot per household. If we
receive duplicates, both proxies and ballots will be invalidated, as well as
any envelopes that are returned incorrectly.
Last, if you do NOT
plan to attend the meeting, we ask that you turn in your proxies and
ballots as soon as possible and do not wait until the 14th or 15thto return them. We will need ample time
to process and log all material received prior to the meeting.
If you plan to
attend the meeting, please come with your BLUE PROXY signed and sealed
in the white double window envelope so we can process it after you sign in. There will be no need to fill out your yellow
ballot until after the presentation of the candidates. AGAIN, PLEASE REMEMBER TO BRING YOUR PACKAGE
WITH YOU.
